Thank you for your interest in becoming a vendor for our 104th year. Please review the application as some options have changed. The Santa Cruz County Fair & Rodeo Association and staff will use its best efforts to organize and conduct the event to which the contract pertains so that the vendor may derive the best possible result from the sales of consumer products during the event.
Vendors will be assigned spaces by the office staff for best arrangement of the event as a whole. The governing Board of Directors of the SCCFRA reserve the right to refuse a vendor application as well as void contracts, and reassign vendor spaces, without notice, as they deem necessary.
Lastly, note that the attached contract is not binding until signed by office staff or other authorized SCCFRA personnel. When your application is approved for a vendor space, you will receive notice. Applications will not be accepted after .

Please pay special attention to the instructions as some things have changed;
Setup: May begin the day before the event beginning at 8:00 am until 4:00 p.m
Hours for setup and breakdown will be strictly enforced. Daily hours during event are 8 -9 AM (all vehicles must be out of common areas by 9AM on event days.
Breakdown: May begin after the close of each event. Horse Races roughly end at 5PM, Memorial Day/Labor Day Rodeos after 7:00 PM, and County Fair after 8:00 PM

Vendor Hours of Operation Vary by Event, will be provided During these hours, all exhibits must be open and have a vendor representative in their booth. Unmanned booths will be subject to removal and may not be allowed to return.
SECURITY- Overnight security will be provided depending on event. The SCCFRA, SCC Sheriff and Arizona Rangers will not be responsible or liable for any loss or thefts.
FOOD INFORMATION- Food concessionaires must have a listing on their application of all items to be sold. No items may be added without permission from the Fairgrounds. All food vendors shall comply with state and local health regulations. Storage trailers/trucks with refrigerator/freezer must have contact name and phone number on back door for emergencies. In addition, there will be an additional fee $20 per event for 50 Amp electric.
ICE, SODA & WATER-The Sonoita Fairgrounds is the exclusive supplier of ice on the grounds. The Fairgrounds office will be selling ice at a rate of $7.00/20 lb bag. Soda & Water are sold exclusively by the Sonoita Fairgrounds.
FRAUD AND MISREPRESENTATION- Each vendor is expected to deal honestly and fairly with the public and his/her employees. Any attempted fraud or misrepresentation will be considered sufficient cause for revoking the contract and removal from the grounds.
VEHICLES ON GROUNDS- No vehicles including golf carts or any type of ATV will be allowed on the grounds after 9:00 a.m. daily. Vendors can stock/load booths/areas by driving onto the grounds between 6:00 a.m. and 9:00 a.m.
INSURANCE- All vendors must submit a copy of Certificate of Insurance for general liability with limits of $1 million and food vendors must have product liability, naming the Santa Cruz County Fair and Rodeo Association as an additional insured. The copy of Insurance is required to be mailed 30 days prior to the event. Vendor setup will not be allowed until the Certificate of Insurance has been filed and acknowledged by the Fairground office. SCCFRA does not offer insurance for purchase.
LIABILITY- The SCCFRA shall not be liable for any loss or damage to the property of the vendor or of its employees, agents, patrons, or guests due to fire, smoke, water from any source, theft, criminal mischief, accident of any kind or from any other cause what-soever and will not be liable for injuries to the vendor, his employees, agents, patrons or guests for damages or injuries arising from or in any way connected with the use of occupancy of space. The vendor agrees to indemnify and hold harmless, the SCCFRA and their Agents and employees, against any and all claims of any person whomsoever, arising out of acts or omissions of this vendor, his employees, agents, patrons, or guests.
LOSS OR DAMAGE- The SCCFRA shall not be responsible for any loss or damage suffered by any vendors, patrons, employees or guests from any act of theft, vandalism, accidental injury. For any loss or damage, refer to the Security section.
LOTTERIES/RAFFLES/DRAWINGS/CONTESTS- Any use of promotion, scheme or device involving the award of any prize, gift or privilege determined as a result of any contest or by chance, without prior consent of the Fairgrounds is prohibited. Promotions shall have written approval by the SCCFRA

No vehicles or RVs allowed to park next to exhibit or booth area. Must be parked in designated parking areas unless special arrangements have been made.
No dogs or animals in, or around, your exhibit or booth area (fair area perimeter).
*Proper licenses, permits, must be obtained 30 DAYS prior to opening of event per the Santa Cruz County Board of Health.
*Food Vendors will be required to adhere to Santa Cruz County Food Licensing requirements. Contact the Santa Cruz County Environmental Health Department at 520-375-7900 for County regulations (see button above for permit application). Food vendors will be expected to keep the areas surrounding their booths clean of all garbage. Sale of alcohol is prohibited.
All servicing of your exhibit or booth area will be done before 9:00 a.m.; all service vehicles must be removed by then.
Food, beverage, or gift samples may not be given away without permission from the fairgrounds and a permit from the Heath Dept..
All exhibits must have a finished, professional look. No bare tables or uncovered boxes. Vendors are required to have covering for all wires, hoses, etc.
Vendors must furnish all extension cords, hoses, tables, chairs and any other special needs.
Spaces are assigned with the consideration of the vendor in mind, as well as the availability to power, water, etc. We reserve the right to place vendors at our discretion.
The fairgrounds will provide tables and seating areas throughout the fairgrounds for customers.
